Camera-Ready Paper Submission Guidelines

Authors must prepare the final manuscript using the official IEEE conference templates:

Formatting requirements:
  • Paper size: US Letter (8.5" x 11").
  • Maximum length: 6–8 pages, including references. If it exceeds, an additional fee of USD 200 per page will be charged.
  • Font: Times New Roman, 10 pt.
  • Margins, spacing, and layout must follow the IEEE template.
  • Do not include page numbers, headers, or footers.
  • All fonts must be embedded in the final PDF.
  • Figures should be of high quality (minimum 300 dpi).
  • Copyright Notice Space-Authors must leave a 0.5 inch (1.27 cm) blank space at the bottom of the left column on the first page for the IEEE copyright notice. This space must be reserved and left empty by the authors.

1. Plagiarism and Originality Policy

All submissions will undergo plagiarism screening using IEEE CrossCheck before publication.

  • The similarity index must be below 30%.
  • Papers failing the originality check or found to have significant overlap with previously published work will be rejected and excluded from the IEEE Xplore proceedings, even if accepted earlier.
  • Authors must ensure that the camera-ready paper has plagiarism score below 30.
  • Authors are responsible for ensuring proper citation and paraphrasing of all referenced material.

2. IEEE PDF eXpress Validation

All camera-ready papers must be validated through IEEE PDF eXpress to ensure compatibility with IEEE Xplore digital library.

Steps to validate your paper:
  • Visit https://ieee-pdf-express.org/
  • Login or create a new account
  • Enter the Conference ID: 68648x
  • Upload your source file (Word or LaTeX PDF).
  • Download the IEEE Xplore-compatible PDF after validation.

Only IEEE PDF eXpress-approved PDFs will be accepted for final submission


3. IEEE Copyright Submission

All accepted papers require a signed IEEE Copyright Form (eCF) before publication.

To complete your copyright submission:
  • Visit https://ssl.linklings.net/conferences/sci/
  • Click the “Submit IEEE Copyright Form” link.
  • You will be redirected to the IEEE eCF system.
  • Complete and electronically sign the form.
  • Ensure the copyright status shows as “Completed” in the portal.

Papers without a completed IEEE copyright form cannot be included in IEEE Xplore.


4. Final Submission Package

Authors must upload the following through the submission system: https://ssl.linklings.net/conferences/sci/

5. Registration Requirement

At least one author must register for the conference at the author rate for the paper to be included in the proceedings.

Presenter and registered authors can be different.

To complete your copyright submission:
  • Registration link: https://sci25.supercomputingindia.org/Conference#delegate-tariff
  • Any author can present the paper during the conference.

The paper must be presented at the conference for inclusion in IEEE Xplore.

Papers without a registered presenting author will not be published in IEEE Xplore.

Final Submission Email
1. Zip the following documents into a single file and name it with your SCI paper ID (e.g. 117.zip)
  1. Response to reviewer's comments
  2. The PDF-Express output of your paper
  3. Registration payment receipt
  4. Copyright receipt
  5. Proof of IEEE membership (if applicable)
  6. Please ensure that the plagiarism criteria are met before submission
2. Send this zip file to sci@cdac.in before November 15, 2025, AoE.

7. Final Checks Before Submission

  • Upload final package before the deadline.

Note: The DOI for your paper will be generated after the proceedings are uploaded to IEEE Xplore. Authors are not expected to have a DOI at camera-ready submission. After publication you will receive the DOI and can update any preprint repository or personal webpage accordingly.

SCI2025 – Stage 3: Camera-Ready Presentation Guidelines

These guidelines outline the final requirements for submitting camera-ready presentation files (slides) for SCI2025 via the Linklings portal.

1. Required Materials to Upload

Each presenting author must upload the following final files:

1. Camera-Ready Presentation (PDF)
  • Format: PDF
  • Recommended ratio: 16:9 widescreen
  • Font size: Minimum 24pt, titles 36pt+
  • Maximum Slide Count: 12 slides
  • Include:
    • Title slide
    • Presenter name & affiliation
    • SCI2025 presentation template
    • Acknowledgments & funding (if applicable)

Authors are strongly encouraged to use the SCI2025 official template:

  • Title Slide
  • Section Breaks
  • Content Slides
  • Closing / Acknowledgment Slide

3. Formatting Requirements

A. Title Slide

  • Paper Title (same as Linklings)
  • Authors & Affiliations
  • Email of presenting author
  • SCI2025 logo

B. Content

  • Use high-contrast colors
  • Include readable charts (no tiny labels)
  • Avoid dense paragraphs — use bullets
  • Use vector graphics wherever possible

4. File Naming Convention

Use the following standard format:

SCI2025_PaperID###_PresenterName.pdf

Example: SCI2025_PaperID376_Rithu.pdf


5. Upload Instructions in Linklings
  • Log in to your Linklings dashboard
  • Go to My Submissions
  • Select your accepted paper
  • Under Stage 3 – Camera-Ready, upload:
    • Camera-Ready PDF
    • Updated presenter details
  • Ensure the status shows “Completed” after upload

6. Presentation Duration
  • Oral Presentation: 20 minutes + 5 minutes Q&A

7. On-Site Instructions
  • Bring a backup copy (USB / Cloud)
  • Arrive at the session room 15 minutes before your presentation session
  • Test slides with AV team before one hour on the presentation day.

8. Additional Notes
  • All content must comply with IEEE, SCI2025 ethics policies
  • No advertisements, commercial promotions, or restricted content
  • Ensure permissions for all third-party images/data
